Last month we showed up to a corporate event and found a dead panel right in the center of the wall. Turned out someone had kicked a cable during load-in. Panel was fine. Cable wasn't. This is the job, and it's why a rental led display costs what it costs.
Most people shopping for a rental led display look at three things: size, price, and whether the screen looks bright in the demo video. Those matter, but they're not where the job is won or lost. The job is won or lost in the details nobody puts on the quote sheet.
Let me walk you through what actually matters, based on the kind of work we do every weekend.
The pixel pitch question is the whole game
Pixel pitch is the thing that makes the difference between a screen that looks sharp and one that looks like you're looking through a screen door. Get this wrong and nothing else matters.
Put simply, pixel pitch is how far apart the LEDs sit, measured in millimeters. A P2.6 panel has LEDs 2.6mm apart; a P3.9 has them 3.9mm apart. Go smaller and you get a tighter, sharper image, but you pay for it.
Here's where people mess up. The pitch that looks amazing three feet away in a showroom is overkill if your audience is sitting across a ballroom. You pick the pitch by how far away people sit, not by what looks best under the showroom lights. If people are three meters from the screen at a product launch, P2.6 is the minimum and P1.9 is better. If they're fifteen meters back at a festival, P3.9 is more than enough and P4.8 will do the job. Paying for P1.9 when your audience is twenty meters away is just burning money.
When you're comparing rental led display options, pitch is the first spec to lock down. We've had clients insist on the tightest pitch available for a rental led display because they saw it at a trade show, then realize their venue is too big for anyone to notice the difference. The right question isn't "what's the best panel you have." It's "what's the right pitch for my seating distance."
Indoor, outdoor, and why it matters more than you think
Indoor panels and outdoor panels are different machines, not the same panel with a weather rating.
Outdoor panels are a different beast. They need to handle rain and dust, so they're sealed to IP65, and they have to punch through sunlight, which means 5000 nits or more of brightness. All that durability adds weight and cost, and the pixel pitch usually runs coarser, P4.8 or P5.9, since people at outdoor events tend to be further back anyway.
Indoor panels don't have to compete with the sun, so they run 800 to 1500 nits, which is plenty for a conference room or a stage. The lower ambient light also means you can use tighter pitches, P1.9 to P3.9, since people tend to be closer. They're lighter and cheaper per square meter.
Here's the mistake we see all the time: booking a rental led display for an event that's technically "under a tent." Tent or no tent, if there's ambient daylight, indoor panels wash out. The screen goes up, the sun comes around, and suddenly the sponsor logos are invisible. A rental led display for an outdoor event needs outdoor panels, full stop. It costs more, but a screen nobody can see is the most expensive screen you'll ever rent.
What you're actually paying for
A rental led display quote usually covers the panels, the rigging or ground support, the processor, the cables, and a technician. That's the baseline. What it often doesn't cover, and what you need to ask about, is everything else.
Power is the big one. A 30 square meter wall can draw 15 to 25 kilowatts. That's not a wall outlet. That's a dedicated circuit, sometimes three-phase, and some venues charge you for the power drop. If the quote doesn't mention power distribution, ask.
Content is another. If you need custom visuals, animated logos, or a specific resolution mapped to your wall shape, that's a separate line item from someone who knows how to build content for LED, not just PowerPoint.
Labor gets quoted separately and it adds up fast. A small wall needs one or two techs. A big hung display needs four or five, plus a rigger, and they're on the clock from load-in to load-out. A rental led display for a weekend event usually bills for two days even if the show is one day, because setup takes a full day and teardown takes another few hours.
And spares. Any rental led display provider worth working with brings 5 to 10 percent extra panels on the truck. If they don't, that dead panel I mentioned at the top of this page stays dead until the next morning.
The processor is where the picture actually lives
The panels are the screen. The processor is the brain, and it's where most problems show up.
Novastar is the standard for most rental work. It's reliable, widely supported, and most techs know it cold. Brompton and Megapixel are higher-end, used for broadcast and high-end stages where color accuracy and refresh rate matter. If you're being filmed or broadcast, ask for Brompton. If it's a corporate conference, Novastar is fine.
The processor is what decides what resolutions and frame rates you can actually send to the wall. We once had a client whose laptop put out 4K at 60Hz while the processor maxed at 1080p, which made for a stressful morning. Send your tech specs to the rental led display company early, not the day of.
Also: bring a backup laptop. We've seen a keynote speaker's laptop die ten minutes before showtime. The backup laptop had the presentation. The show went on. That's not luck. That's planning.
How to pick a company and not get burned
When you're evaluating rental led display companies, price matters, but the cheapest rental led display quote is usually missing something. Here's how we tell clients to compare.
Ask for an all-in number. Panels, labor, power, content if needed, overtime rates, delivery. If a quote is vague on any of these, push until it isn't.
Ask how old the rental led display panels are. LEDs lose brightness as they age. A five-year-old panel can be 20 percent dimmer than a fresh one, and if a rental company is mixing old and new stock, you'll notice it as uneven blacks across the wall. It's subtle, but once you see it, you can't unsee it.
Get references from events like yours, and actually pick up the phone. Find out if setup went smoothly, whether the tech knew what they were doing, and how they handled anything that went sideways. Every company has something go wrong. The question is how they handled it.
Ask what happens if a panel fails during your event. What you want to hear is that they carry spares on the truck and have someone who can swap a dead panel in five minutes or less. Anything less than that, move on.
And ask whether a technician stays on site during the event. For anything important, the answer should be yes. A tech who can fix a cable in two minutes is cheaper than a screen that's dead for the rest of the keynote.
A few last things
Book early. Peak season, spring and fall, good inventory goes fast. Two to four weeks is enough for a standard event. Two to three months for a large one.
Test everything at the venue before the audience arrives. Not five minutes before. An hour before, minimum. Walk the room before anyone arrives. Check the screen from the back row, from the sides, from whatever seat has the worst angle. If it holds up there, it'll hold up everywhere else.
And if you're not sure what you need, describe your event to the rental company and let them recommend a size and pitch. A good one will talk you out of a bigger, more expensive wall if you don't need it. A bad one will sell you whatever you ask for.
A rental led display isn't a television you plug in. It's a temporary installation that gets built, calibrated, and torn down in the same week. Treat your rental led display booking like the temporary installation it is, and you'll be fine.
